These terms and conditions apply only to Business Over Breakfast (North West) Ltd and may not be copied or used by any other person or organisation.

PLEASE NOTE:

  • Business Over Breakfast (North West) owns the exclusive license to operate BoB Clubs networking groups in Lancashire, Greater Manchester and Cheshire.

  • These terms and conditions relate only to BoB Clubs that are operated by Business Over Breakfast (North West)

  • Business Over Breakfast (North West) may also be referred to as BoB Clubs or BoB Clubs NW throughout these terms and conditions.

  • A point of contact relates to a Business Over Breakfast (North West) Director or a designated Business Administrator.

    General Membership Information

    Business Over Breakfast (North West) is a referral-based networking organisation.  The whole purpose of its networking clubs is to facilitate the exchanging of referrals amongst its members. 

    Members will usually join one BoB Club of their choosing, with places being subject to availability.

    BoB Clubs meetings will usually be held, fortnightly, on the same day and at the same venue.  

    Business Over Breakfast (North West) will have the exclusive place for networking clubs/groups at all BoB Clubs operated by BoB Clubs NW.  Whilst no demand is made for members not to participate in other networking activities, members agree not invite other BoB Club members to attend any other networking clubs, groups, events or meetings that compete directly with BoB Clubs NW. 

    BoB Club members are given business category exclusivity at the BoB Club(s) they join.  This business category will usually be agreed, with BoB Clubs NW, upon joining. Any changes to this may be requested, in writing, to BoB Clubs NW and a £50 plus VAT admin fee may be charged.

    Once a membership application has been activated, members will be supplied with login details for their online profile that is accessible via the main BoB Clubs website www.bobclubs.com or the BoB Clubs App. Membership applications will not usually be processed until payment has been received.

    When members join BoB Clubs NW, they become the direct customer of Business Over Breakfast (North West) and Business Over Breakfast (North West) controls all customer data.  However, as the business operates under license, all data contained within the membership application will automatically be shared with Business Over Breakfast Ltd.   

    BoB Club Structure

    New BoB Clubs will usually open with approximately five members already registered.

    A new BoB Club that is in formation will be considered officially launched when it has twelve members registered.

    Business Over Breakfast (North West) will elect a leadership team. One member, at each BoB Club, will be chosen to be the Chairperson and another to be Deputy Chairperson.  The Chairperson and/or Deputy Chairperson will be responsible for running the BoB Club meetings and updating the attendance, via the BoB Clubs online system or members app, after each meeting.  The Chairperson will be given three months additional membership free of charge and will only be expected to pay the monthly meetings fees, to include breakfast, during this time.

    Business Over Breakfast (North West) reserves the right to implement and change the leadership team of any BoB Club at any time.

    There is no requirement for a representative of BoB Clubs NW to attend the BoB Club meetings.

    Business Over Breakfast (North West) reserves the right to form, suspend, postpone and close individual BoB Clubs and/or meetings. Additionally, BoB Clubs NW may change venues, meeting times, frequency, the days of BoB Clubs meetings and transfer members to other BoB Clubs.

    Social Media, Photography & Video

    Business Over Breakfast North West regularly uses a variety of social media platforms to promote BoB Clubs NW and its members.  Photographs and videos are regularly taken during the BoB Club meetings. These images and other information gathered during the BoB Club meetings, including members online profile photos, will be regularly shared on a variety of social media platforms to help promote BoB Clubs and members businesses.  Any member who does not wish to be included in our social media activity must email tracy@better-networking.co.uk with the subject head Social Media Permissions Denied.

    Attendance

    In between the BoB Club meetings, members will be sent a meeting reminder email to confirm attendance.  These emails will usually be sent out on a-daily-basis until a response is received by BoB Clubs NW.

    BoB Club meetings are held fortnightly, usually on the same day and at the same venue. When joining BoB Clubs, members agree to attend the BoB Club meetings on a regular basis and provide notification if they cannot attend by responding to attendance emails. Any member providing late notifications that they cannot attend a BoB Club meeting must notify a point of contact at BoB Clubs NW and notify the Chairperson of their BoB Club.

    In relation to a member being absent from a meeting, whilst it is not a requirement for members to send a substitute to attend a BoB Club meeting, on their behalf, it is optional and encouraged. Substitutes can be from a members’ own business or be business associates from another business. Members who are sending a substitute agree to notify BoB Clubs NW, in advance, by completing the email notification on the relevant meeting reminder email and disclosing the substitutes contact details.  It is members responsibility to obtain consent from the substitute to transfer their contact details to BoB Clubs NW.  In the event of a substitute attending a BoB Club meeting, the substitute will be given an opportunity to promote their own business/profession. As such, members agree to only send a substitute who is from a business sector that does not compete with any other member at their BoB Club or guarantee that the substitute will only promote the members business and not their own business/profession. Substitutes will not be charged a visitor fee, providing that members meeting fees are paid up-to-date.

    Members are expected to attend their fortnightly BoB Club meetings on a regular basis.  Business Over Breakfast (North West) reserves the right to terminate the membership of any member if their attendance falls below seventy five percent, in any six-month period, or if three consecutive meetings are missed, unless BoB Clubs NW has agreed otherwise, in writing.  

    It is members responsibility to notify BoB Clubs NW if they are experiencing unforseen problems that may impact their ability to attend their BoB Club meetings on a regular basis.  Documenting a reason as a meeting reminder email response, does not constitute formal notification. Under these circumstances, members must email their point of contact at BoB Clubs NW. Whilst there is no requirement for Business Over Breakfast (North West) to agree to attendance levels reducing, every effort will be made to accommodate members when possible.

    Membership Fees

    Membership fees are broken down into a one-off registration fee and an annual membership fee, which are due for payment upon application, of an officially launched BoB Club, unless otherwise agreed, in writing, by BoB Clubs NW.  New members who opt to complete the online membership application, agree to make payment within seven days of completing the application form.

    Members joining a club in formation, that has not officially launched, will only be required to pay the registration fee upon application.  The annual membership fee will not become payable until the club reaches twelve members. Upon the BoB Club reaching twelve members the twelve-month annual membership term will begin, and members will be required to pay the annual membership fee.  Payment for this fee must, without exception, be paid within fourteen days from the date the club officially launches. BoB Clubs NW will email all members with notification that their BoB Club has officially launched.

    Current Fees:

    Registration Fee:  £95.00 plus VAT

    Annual Membership Fee:  £295 plus VAT

    BoB Clubs reserves the right to increase the current fees, however, members will always pay the price agreed at the point of joining, and prices will always fall in line with the standard prices dictated by the licensor, Business Over Breakfast Ltd.

    Meeting Fees

    Members will be charged meeting fees to include breakfast.  The cost of these fees may vary from one BoB Club to another, and the actual fee will be supplied by BoB Clubs NW upon receipt of a membership application or as soon as a venue/alternative venue is arranged.  These fees can be paid in advance, for the year, or paid by monthly direct debit.  Fees will be payable whether members attend their BoB Club meetings or not. In the event of a substitute attending, on behalf of a member, these fees will cover the cost of their meeting/breakfast.

    Refund Policy

    If a BoB Clubs membership is terminated by BoB Clubs NW or a member resigns their membership, registration and membership fees are non-refundable. The only exception to this is in cases when a registration fee has been paid for a new club that is in formation, and the club applied for does not open within nine months from the date of application.  In this instance, it is members responsibility to request a refund, in writing, within three months of the nine-month period expiring.  Failure to request a refund within this period will result in a refund not being offered.  Refunds will normally be made within twenty-eight days from the date a credit note is issued.  

    In the event of a BoB Club being closed, if it is not possible for BoB Clubs NW to transfer a member to another BoB Club, a partial refund may be offered.  If a refund is offered, it will be a pro-rata refund based on the annual membership fee (minus fifteen percent) only.  Members will only be considered for a refund if they have attended a minimum of seventy-five percent of the meetings or they have not missed three consecutive meetings or more, within a six-month period, or from when the membership began, if the date that the membership began falls less than six months..

    In the event of a membership being terminated or if a member resigns their membership, meeting fees from the start of the month, proceeding the date of termination or cancellation, will no longer be payable. If a member has paid the meeting fees, in advance for the year, a partial refund will be due, and a payment will usually be refunded within twenty-eight days from a credit note being issued.  Members will be required to send Business Over Breakfast (North West) company bank details or send a PayPal payment request for the refund to be paid by BACS transfer.

    Punctuality

    Members are expected to arrive at the BoB Club meetings on time, allowing fifteen minutes before the meeting is due to begin. 

    BoB Clubs NW has the right to terminate a membership if persistent lateness occurs. Specifically, if a member is continuously late for three meetings or more.

    Visitors  

    Members are encouraged, but not obliged, to invite visitors to attend a BoB Club meeting.

    Visitors are welcome to attend the BoB Club meetings, providing they do not compete with other members.   In the event of a member wishing to invite a visitor to attend a BoB Club meeting and they are unsure about any potential conflict with any another member(s), they must call or email their point of contact at BoB Clubs NW. In this instance, it may be necessary for BoB Clubs NW to invite visitors to attend an alternative BoB Club in another area subject to availability. 

    All visitors must be booked to attend in advance of a BoB Club meeting.

    Unless agreed, in advance, with BoB Clubs NW, visitors will only be permitted to attend two meetings before they will be required to make a decision about becoming a BoB Club member.  

    A visitor fee of £12.50 plus VAT will be payable, in advance, by all visitors attending a BoB Club meeting, unless otherwise agreed with BoB Clubs NW. Business Over Breakfast (North West) reserves the right to alter this fee at any time.

    Unless a BoB Club is considered to be operating at full capacity, Business Over Breakfast (North West) will endeavour to book visitors to attend BoB Club meetings as and when possible.

    Restrictions

    Members agree not to establish, run, manage or promote any other networking groups that competes, in any way, with BoB Clubs NW. This includes during the BoB Club meetings and during one-to-one meetings with other members.

    Members agree not to undermine the credibility and morale of their BoB Club, other BoB Clubs, BoB Clubs leadership teams, BoB Clubs NW Directors and Staff by means of verbal, written or electronic communication, including social media.

    Members agree not to use any language, sexism, racisim, xenophobic, homophobic or other comments considered to be inappropritate or offensive. If BoB Clubs NW is made aware or receives any complaints of this nature, a full investigation will be completed by BoB Clubs NW.  Members found to contravene these rules, may have their membership suspended and/or terminated.

    Members are only permitted to promote the business category that is allocated to them at the point their membership application is processed and must not, without the express permission of BoB Clubs NW, promote any other type of business outside of their elected business category.

    Business Category

    Each BoB Club will only have one member per business category.  The business category allocated to members will be agreed upon receipt of their membership application. Members are permitted to promote their business category only and agree not to promote any other business, product or service that falls outside the remit of their business category.

    Change of Business category

    In the event that a member wishes to change their elected business category, a written request must be sent to BoB Clubs NW, in writing.  Every attempt will be made to authorise any required changed, however, BoB Clubs NW reserves the right to refuse. Any changes made to the business category will be subject to a £50 plus VAT administration fee, with an immediate payment due, once the changes have been made.


    Transfer Of Membership

    A BoB Club membership is usually non-transferable, unless agreed, in advance with BoB Clubs NW. Membership places are given to individuals, not companies. If, at any time, a business wants to replace a BoB Club member with another individual, a request must be made, in writing, to BoB Clubs NW, and BoB Clubs NW reserves the right to refuse.  In the event of a membership transfer being agreed, an administration fee of £50 plus VAT will usually be charged with payment due prior to the transfer taking place.

    BoB Clubs Transfers

    Members may, from time-to-time, wish to transfer to an alternate BoB Club than the one they joined.  Transfer requests will be required, in writing, to a point of contact at BoB Clubs NW.  Whilst every effort will be made to accomodate a transfer request, BoB Clubs NW reserves the right to refuse a request. Transfer requests can only be authorised for BoB Clubs operated by Business Over Breakfast (North West).

    An admin fee of £50 plus VAT, payable when the transfer is agreed, will be charged for approved transfer requests.

    Website, Members Online Profile, Meeting Sheets & Members App

    Upon submitting a membership application, members agree to their contact details, including phone numbers, website address, address, logos, photos and any other information that they use to update their members online profile, on the BoB Clubs website www.bobclubs.com. The website and members online profiles are accessible by anyone, not just BoB Club members.

    Information contained within the online profile will be carried forward to meeting sheets that other members can print off for use at their BoB Clubs meetings.  Visitors may also be given meeting sheets that contain information from members online profiles.

    Members online profiles will not be visible on the website when a membership is resigned, not renewed or terminated.

    The BoB Club App is available for members to download and use.  All contact information provided on the members application form and other information included, by members, on their members online profile, will be available for other BoB Club members to see. This includes BoB Club members within all BoB Clubs some of which are not operated by Business Over Breakfast (North West).

    When using the BoB Clubs App or website to pass on referrals to other members, it is members responsibility to make sure that they have permission to transfer contact details to another member.  Business Over Breakfast (North West) is in no way responsible for gaining permissions for members to exchange contact details.

    Membership Renewal

    Membership renewal is not an automatic right. At the end of an annual membership term, BoB Clubs NW reserves the right not to renew a membership for an additional year. Members who are being invited to renew their membership will be contact by BoB Clubs NW.  Membership renewal can be agreed verbally or by email.  In any case, by making payment for renewal fees, howsoever that payment is made, members are agreeing to the terms and conditions of Business Over Breakfast (North West) for another year(s).

    Membership Cancellation By Business Over Breakfast (North West)

    Business Over Breakfast (North-West) reserves the right to cancel a membership if:

  • Behaviours or actions are considered unreasonable towards another member(s), visitors, the Chairperson or BoB Clubs NW Directors and Staff

  • Complaints are received from other members or visitors about the quality of a service or poor-quality product being provided

  • Attendance levels fall below the required level

  • Members are continuously late for BoB Club meetings

  • Members invite our visitors or our members to visit or join other networking clubs, groups or organisations that compete directly with BoB Clubs NW

Membership Cancellation By Members

Members may cancel their membership at any time by notifying Business Over Breakfast (North West) in writing. Responding to a meeting confirmation reminder email does not constitute notification.  No refund will be offered for any registration, annual membership or annual renewal fees. 

Members cancelling the membership of a BoB Club that is in formation before it has officially launched, with twelve members, may still incur additional charged in relation the annual membership fee as outlined below:

  • Cancellation of membership up to 4 months before the launch date        - 15% of the annual membership fee will be payable

  • Cancellation of membership less than 3 months before the launch date - 30% of membership fee will be payable

  • Cancellation of membership less than 2 months before the launch date - 60% of membership fee will be payable

  • Cancellation of membership less than 1 month before the launch date - 90% of membership fee will be payable

  • This 90% payment also applies to any member who pays the registration fee to reserve their exclusive place at an existing club and then fails to pay the invoice for their first years’ membership.

    Once a BoB Club has opened, if a founder member cancels their membership, that member will only be eligible for a refund of the registration fee if they have attended a minimum of seventy five percent of the pre-launch meetings.

Business over Breakfast (North West) Ltd Privacy Policy

Business Over Breakfast (North West) is registered with the ICO and has a full data protection policy in place.

Business Over Breakfast (North West) will not share personal data with any third parties, other than Business Over Breakfast Ltd, our sister company Better Networking Ltd, which is a networking & communications training company, and our professional service providers that we use to help run the business.   All our professional service providers are GDPR compliant and non-disclosure agreements are in place with all service providers who may have access to our internal and IT systems.

As well as the main website, members data will be held on our internal CRM for a maximum of six years after a BoB Clubs membership has ended or if we have not had any other form of communication or connection within a six-year period.  

Contact details will be added to our newsletter with an option to unsubscribe from the newsletter at any time.

Business Over Breakfast (North West) operates under license, therefore, it is necessary to share personal data with Business Over Breakfast Ltd. In all cases, howsoever, details are captured, whether it be through the main website www.bobclubs.com then transferred to BoB Clubs NW, or your data is provided directly to BoB Clubs NW, your data will be controlled by Business Over Breakfast (North West) Ltd.  However, all data will be shared with Business Over Breakfast Ltd and stored on their international database, which is owned by them.

For people who are not BoB Clubs members and they enquire about our BoB Clubs, book to attend a BoB Club meeting, send an email enquiry via the website www.bobclubs.com, sign up for the BoB Clubs NW newsletter or make direct contact with BoB Clubs NW, personal contact details will be stored on our database for no longer than is reasonably necessary and for a maximum of six years. Marketing emails may be sent to the email address provided,  calls may be made or SMS text messages may be sent using the contact details provided regarding upcoming meetings and vacancies at our local BoB Clubs that are suitable.  A request to remove personal data from our database can be made at any time by emailing tracy@better-networking.co.uk and response@bobclubs.com

  • Any business cards that are kept on-site will be kept in a suitably secure cabinet, cupboard or draw that will be kept locked when not in use. 
  • Business cards and any other marketing literature will be shredded securely when they are no longer in use.

Requesting that personal data be removed from the website earlier than 6 years:

  • If you would like us to remove your data from our database, you must send an email to remove@bobclubs.com  and to tracy@better-networking.co.uk clearly stating your full name, company, your email address and the club you were a member of or linked to.  Your data will be permanently removed within thirty days from request.

Where We Store Personal Data

All data you provide to us is stored on our internal CRM, which is GDPR compliant. Any data relating to invoices is stored on our internal network, which is backed-up offsite using a GDPR compliant supplier.  Accounts data is shared with our accountants and they are GDPR compliant.

All information you provide to us is processed on the BoB Clubs website www.bobclubs.com and is stored on a secured server within the EEA.  

As the transmission of information via the internet is not completely secure, we cannot guarantee the security of your data transmitted to our site and any transmission is at your own risk. Once we have received your information, we will use strict procedures and security features to try to prevent unauthorised access.

Card payment/direct debit companies are used to process most of our payments. We do not hold any sensitive payment card data in our database.

Your Rights

In preventing the use or processing of your personal data, it may delay or prevent us from fulfilling our contractual obligations to you, including but not limited to providing services, membership set up, membership changes, membership transfers or membership cancellations.

You have the right to object to our use of your personal data, or ask us to delete, remove or stop using it if there is no need for us to keep it. This is known as your right to be forgotten. There are legal and accountancy reasons why we will need to keep your data, but please do inform us if you think we are retaining or using your personal data incorrectly.

You can view, edit or delete your personal data, on your online profile by logging into to the BoB Clubs website.

Accessing, Updating and Reviewing Your Business and Personal Data

It is your responsibility to maintain the accuracy of your information and ensure all your details, including, but not limited to, name, address, title, phone number and e-mail address is kept up-to-date. You must do this by logging onto your BoB Clubs online profile and updating your personal details via the website www.bobclubs.com

In addition, you must also email a point of contact at Business Over Breakfast (North West) with any changes, so that your data and up-to-date contact details are held on our internal CRM is kept up-to-date.

Cookie Policy

Cookies enable us to identify your device, or you when you have logged in. We use cookies that are strictly necessary to enable you to move around the site or to provide certain basic features. We use cookies to enhance the functionality of the website by storing your preferences. We also use cookies to help us to improve the performance of our website to provide you with a better user experience. 

We do not sell the information collected by cookies, nor do we disclose the information to third parties, except those third parties outlined in our terms and conditions and where required by law to do so to law enforcement agencies and legal authorities.

The website uses Google Analytics to provide entirely anonymous information about how many people visit it. This helps us to improve the website. If you do not accept cookies, you will not be included in these statistics from Google Analytics. You will still be able to use the website, however, a regular message will continue to appear at the top of the screen.

Passwords

When a member is added to the BoB Clubs website, a random temporary password is generated.  We recommend that this is changed at the earliest opportunity.  The password grants you access to certain web pages on the website and the BoB Clubs Members App.  It is the responsibility of individual members to keep the password confidential.  We strongly recommend that any password is not shared with any third party.

Website Links

BoB Clubs may provide links to other third-party websites.  These websites are not under the control of BoB Clubs NW.  Therefore, it is strongly recommended that members review the privacy policies of any third party website.

Data Breaches

In the event of an unlikely data breach, BoB Clubs NW shall ensure that its obligations under applicable data protection laws are complied with.
